Repeat Bookings

A weekly pattern, saved once, that fills the months ahead with bookings

What does this policy do?

A repeat booking is a pattern, not a booking: a service, the pets, and the days of the week it happens on. The pattern is saved once, and bookings are made from it in batches — one booking holding all the dates of each fill. This policy decides whether clients may use repeat bookings, whether the monthly fill runs and on which day and how far ahead, whether the bookings it makes wait for your confirmation, and what a client may do with their own pattern. It is available on every plan.

How it works

Each switch on the card changes one thing. This is what each one does, and what the fill does on its own.

Repeat Bookings Active

Off, clients lose the Repeat Bookings tab and the server refuses a pattern they try to create. The monthly fill stops too. You can still create a pattern for a client yourself and generate from it by hand — the switch is about clients and the automatic fill, not about you.

Auto-Generate Monthly, on your chosen day

On the day you pick (1–28) the fill runs and keeps the next one, two or three months topped up. Three months ahead on 25 October makes November, December and January; on 25 November only February is new. Each month is filled once for the whole business, and a date that already exists — made by hand, or by Generate now — is never made again. With this off, a new pattern still gets its first fill when it is created; after that nothing is made until you press Generate now.

Require Admin Confirmation

On, every booking the fill makes is pending, each date marked unconfirmed, and waits for you to confirm like any other request. Off, the booking is confirmed on the spot and marked archived, so it goes to the Archived tab of your Bookings screen rather than waiting with the active ones, and each walk date without a walker is given the customer's default walker.

Allow Clients to Create

On, with the policy active, a client sees a Repeat Bookings tab in My Bookings and can set up their own pattern, which fills at once from the start date they choose. Off, the tab is hidden — so the client cannot see, pause or edit a pattern you made for them either — and the server refuses a pattern from them. You can always create a pattern yourself, choosing the client from your active clients.

Allow Clients to Pause

On, a client can pause and resume their own pattern. Off, the Pause button stays on their screen but is disabled, with a note that the business manages pausing, and the server refuses a pause or resume from them. Everything else about their pattern stays theirs to edit or delete.

What a pattern holds

A service — Dog Walking, Daycare or Home Visits; a boarding stay cannot repeat, and you see only what your plan sells — the pets, the days of the week, its times (check-in and check-out for daycare, the visit windows for a home visit, AM or PM for a walk), a start date (today unless changed), an optional end date, transport for daycare, and whether to skip bank holidays, which is on by default. A pattern carries no add-ons: the dialog has none. When creating one you also choose how many months to fill straight away — as many as are left in this calendar year — counted from the start date's month.

Which days are skipped

Of the days in the pattern, the fill leaves out a Closed Date (for every service — home visits aside, see below), a weekday your Daycare Restrictions close (never a walk), a bank holiday when the pattern skips them, any day before the start or after the end date, any day you removed from the repeat panel, and any day the client already has a booking of that kind — a cancelled date counts as taken, so it is never made again. Walks also skip your Dog Walking unavailable days. Home visits follow the Visits Unavailable Dates and Visits Restrictions once you have saved them, and the shared lists until then.

Capacity, and the waiting list

A daycare date is checked against your licence capacity, when you have set one, counting the daycare and boarding dogs already booked that day. A full date is skipped — or, when your Waitlist policy is on and allows that service, put on the waiting list instead, linked to the pattern. Home visits are not counted against the licence: they happen at the client's home. A walk date is checked against your walking policy's capacity when your plan includes walking capacity — Walker, Pro, or walking bought as an add-on; Starter has none, so every walk date is filled. A day your walking policy offers no slot for that kind of walk is skipped too. A walk date the capacity refuses is skipped, never put on the waiting list.

Prices

A walk is priced on each date from your live walking service — the price in force on that date, the client's own charge rule and the dog-count tier — so a price change reaches future walks. A daycare day or a visit is priced from the service as it was saved on the pattern. Weekend and bank-holiday prices apply by the date. Whether VAT is added is read from the live service each time.

Who walks

The booking is given the pet's primary walker, or else the client's designated walker, but only when that walker is free on every date in that batch — the month for the monthly fill, every month chosen for a new pattern's first fill. When bookings are confirmed automatically, each walk date still without a walker gets the customer's default walker.

Two homes at once

A Home Visits pattern whose time window clashes with any other repeat visit on the same weekday — another client's, or the same client's other pattern — is counted against your staff: those with Home Visits on their record in Staff, or all your staff if nobody has it. With one person it is refused, on create and on edit, and Check capacity on this repeat is how you carry on. With two or more you see how many visits and how many staff there are at that time, and you can always add it anyway; a client's own pattern is refused once every one of them is taken. A paused pattern still holds its times. Two windows in one pattern may not overlap each other.

Edits, Generate now and deleting

Editing a pattern changes future fills only; bookings already made stay as they are, and an edit on its own makes nothing. Generate now is the business's — a client who presses it is refused — and fills this month, this and next, the next three or the next six months, this one included, never duplicating a date. Deleting a pattern stops future fills and keeps every booking it made. Removing one date from the repeat panel deletes that date from both the business's and the client's copy, and it never regenerates. The client gets no email; if someone on your waiting list wanted that date, the Waitlist policy's own rules may give it to them and tell them.

What you and the client see

The fill itself sends no email — none to the client, none to you. Each fill makes one booking holding all its dates; it appears on your Bookings screen with a Repeat Booking mark, and in the client's My Bookings like any other. On the Repeat Bookings tab each pattern shows its last batch once it has one and, for you, a badge saying what the last run did: Generated, Ran · nothing to add, Due to generate, No dates that month, Client added their own, Stopped, or Needs a look.

Tips

Save the policy once, even with the defaults. The monthly fill reads your saved policy and does nothing until there is one — a business set up before this policy existed may be running on the screen's defaults without a saved copy.

The default day is the 25th: next month's bookings are made then, which leaves you the last days of the month to confirm them.

After changing a pattern's days or start date, press Generate now for this month. The fill only runs on your chosen day, and an edit on its own makes nothing.

A pattern created after your generate day only fills its first month unless you choose more months — that day's run has already done the next month and will not come back for it. Choose two months, or press Generate now.

A client who has already booked a day by hand is not double-booked: the fill sees the booking and skips it. Before the run the badge reads “Client added their own”; after it, “Ran · nothing to add”.

Months ahead on this card (1–3) is for the automatic fill; “Months to generate” on a new pattern is a one-off first fill.

Deleting a pattern cancels nothing and emails nobody. If its bookings should go too, remove or cancel the dates first.

In read-only mode, after a lapsed subscription, no new pattern can be made and the monthly fill does not run. A client who has left the business gets no new repeat bookings either.
