Pet Profiles
What are Pet Profiles?
Pet Profiles is the complete record for every dog registered in your system. Each pet has a rich profile card with four tabs — Details, Health & Behaviour, Vaccinations, and Feeding & Care. Clients manage their own pets from the "My Pets" dialog, and admins can view (and edit) any pet from the Client Management expanded view. Vaccinations are tracked individually with administered/next-due dates, certificate photo uploads, and overdue alerts.
How Pet Profiles work
Every pet is a self-contained profile with all the data you need for safe boarding.
Pet Selector
When a client has multiple pets, a horizontal chip bar lets you switch between them. Each chip shows the pet's avatar, name, and a "Primary" badge for the first registered dog. Birthday emoji appears on their special day.
Profile Header
Shows the pet's large avatar (with photo upload), name, breed, age/gender/weight chips, microchip status, and three health status indicators — Neutered, Vaccinated, Flea & Worm Treated — each colour-coded green (up to date) or red (needs attention).
Details Tab
A grid displaying breed, age, gender, date of birth, weight, and microchip number. This is the quick-reference view when checking a pet's basic info.
Health & Behaviour Tab
Expanded health cards show neutered, vaccination, and treatment status with "Up to date" or "Needs attention" badges. Below that: socialisation notes, behaviour with other dogs, special needs, and food guarding information.
Vaccinations Tab
Lists every vaccination record (Distemper, Parvovirus, Kennel Cough, Leptospirosis, etc.) with a green/red dot indicator. Tap to expand and see administered date, next due date, and options to view the certificate photo, edit, or delete. Overdue vaccines trigger an amber warning banner at the top.
Feeding & Care Tab
Captures allergies, feeding routine, water routine, and additional care notes in a Q&A format. This is what your team reads every morning before feeds.
Photo Upload
Tap the camera icon overlaying the avatar to upload or change the pet's photo. Photos are stored in cloud storage and displayed across all views — client portal, admin panel, and booking calendars.
Add / Edit / Remove
Clients can add new pets (filling in all basic, health, and behaviour fields), edit existing profiles, or remove pets. Primary pets require a full setup wizard reset. Pets with active bookings become inactive rather than deleted.

Vaccination tracking in detail
Vaccinations are a critical compliance requirement. Here's how the system tracks them.
16 Common Vaccines
The system comes pre-loaded with 16 standard dog vaccinations: Distemper, Parvovirus, Kennel Cough (Bordetella), Leptospirosis, Hepatitis, Parainfluenza, Rabies, Canine Influenza, Lyme Disease, Coronavirus, and more.
Administered & Next Due Dates
Each record stores when the vaccine was given and when the next dose is due. The system auto-calculates overdue status and shows red/green indicators.
Certificate Photos
Upload a photo of the vet certificate for each vaccination. Admins and clients can view these in the expanded vaccination card.
Overdue Alerts
If any vaccination is past its next-due date, an amber banner appears at the top of the Vaccinations tab. The admin client list also shows an overdue chip on the pet card.
Admin Override
Admins can add, edit, or delete vaccination records from the client's expanded detail panel — useful when clients bring paper certificates to a Meet & Greet.
What proper pet profiles enable

A new dog is registered during sign-up
The pet appears with all basic info, health status indicators, and blank vaccination records. The client is prompted to complete feeding & care details and upload vaccination certificates.
A vaccination expires (past next-due date)
The pet's profile immediately shows a red "Needs attention" badge on the Vaccinated indicator. The Vaccinations tab displays an amber warning banner. Admins see an "⚠️ Overdue" chip on the pet card in the client list.
You check feeding instructions before a morning feed
Open the pet profile → Feeding & Care tab → see allergies, feeding routine (times, food type, portion), water routine, and any additional notes. Your team has all the info they need without asking the owner.
Pro tips for managing pet profiles
Always verify vaccination records against the vet certificate photo — clients sometimes enter incorrect dates.
Use the "Needs attention" health indicators as a pre-booking checklist. Don't confirm bookings for dogs with overdue vaccinations.
Encourage clients to fill in the Feeding & Care section thoroughly — it's the difference between a stressed dog and a happy one.
Check the behaviour and socialisation notes before grouping dogs for daycare. A dog that "guards food" shouldn't eat near others.
The microchip number field is essential for DEFRA compliance — ensure it's filled in for every pet.
Primary pets are linked to the setup wizard. If a client removes their primary pet, their account resets — warn them clearly.
Use the admin vaccination feature to record vaccines from paper certificates brought to Meet & Greets — don't wait for clients to do it themselves.
