Client Management
What does Client Management do?
Client Management is your central hub for every person who boards pets with you. From here you can add new clients, search and filter your database, expand any client card to see (and edit) their full details — owner info, dogs, vaccination records, forms progress, vet & emergency contacts, invoices, and onboarding status. You can activate or deactivate accounts, assign categories like "VIP" or "Regular", send emails, manage passwords, and export your entire client list to CSV.
How the Client Management page works
Every client is displayed as a compact card. Tap to expand and reveal seven detailed sections covering their full profile.
Search & Filter
The search bar filters clients by name or email in real time. Three status tabs — All, Active, Inactive — let you focus on the right group. A category dropdown narrows results further (e.g. "VIP" or "New").
Client Cards
Each card shows the client's avatar, full name, email, dog count, join date, and status/category chips. Inactive clients get an orange chip. Tap the arrow to expand their full profile.
Owner Details Section
Shows name, email (copy-to-clipboard), phone, address, member-since date, and unique user ID. An Edit button opens an inline editor for all fields.
Dogs Section
Lists every pet with a photo, breed, age, gender, weight, microchip status, and health chips (neutered, vaccinated, flea/worm treated). Each pet has Edit, Delete, Photo Upload, and Vaccinations buttons. Overdue vaccinations show a red indicator.
Forms Section
Displays a progress badge (e.g. "4/5 completed") and lists each required form — Questionnaire, Vet Release, Emergency Contact, Boarding Agreement, Policies & Procedures. Pending forms have a "Send Reminder" button that fires a pre-filled email.
Invoices & Payments
A summary strip shows Total, Paid, and Outstanding amounts. Below that, each booking row displays the service type (Boarding/Daycare chip), date, pets, and payment status. You can Record Payment, Add Payment, or Undo a payment — with optional email receipts.
Action Buttons
Above the detail sections you'll find quick-action buttons: Activate/Deactivate, Bookings (opens full MyBookings dialog), Password (reset or change), Onboarding (skip/bypass steps), View as Client (see their dashboard), Make/Remove Admin, and Categories.
Bulk Operations
Select multiple clients with checkboxes to Bulk Activate, Bulk Deactivate, or Send Email to all selected. The top-right menu also offers CSV Export and Import.

Add Client workflow
Creating a new client from the admin panel gives you full control over their onboarding experience.
Client Details
Fill in first name, last name, email, phone number, address, and optional notes. The email becomes their login credential.
Custom Password
Set a password manually or let the system generate one. You choose whether to send a welcome email with login instructions.
Onboarding Toggles
Skip the onboarding questionnaire, bypass Meet & Greet, or bypass the Test Overnight Stay. These cascading toggles let you fast-track trusted clients.
Welcome Email
Customise the subject and body using template variables like {{firstName}}, {{businessName}}, {{loginUrl}}. Preview in rendered mode before sending.

A new client registers on your portal
They appear in your client list with a "Setup Incomplete" chip until they finish onboarding. You can expand their card to monitor form progress, vaccination status, and onboarding pipeline.

You deactivate a client who hasn't responded
Their card shows an orange "Inactive" chip. They can no longer log in or make bookings, but all their historical data (bookings, pets, invoices) is preserved. You can reactivate them anytime with one click.
You send a form reminder email
The client receives a personalised email listing which forms are still pending. Their form progress badge updates in real time as they complete each one.

Pro tips for client management
Use client categories liberally — "VIP", "Regular", "New", "Anxious Pet" — they help you filter and prioritise at a glance.
Check the Forms section before confirming a new booking. Incomplete forms mean you're missing critical emergency or vet data.
The "View as Client" button is invaluable for debugging — see exactly what the client sees in their dashboard.
Export CSV monthly for backup. If you ever need to migrate platforms, your client list is ready to go.
Send personalised welcome emails at add-time. A warm, branded email sets the tone for the relationship.
Enable onboarding for new clients but skip it for transfers from other businesses you trust — the toggles give you that flexibility.
Record payments promptly to keep invoices accurate. Clients can see their payment history in their own portal.
Use bulk email for seasonal updates (e.g. "Christmas booking slots now open!") — select all active clients and compose once.
