Booking Requests

Manage every incoming booking from receipt to confirmation — review, approve, and notify clients in one pipeline.

Your booking command centre

The Requests page is where every booking lands after a client submits it. Think of it as an inbox for your business — each request arrives as a card showing the pet, owner, service type, dates, and price. You review the details, check capacity, then confirm or decline with a single tap. Once confirmed, the system automatically updates your calendar, adjusts capacity, and can send a confirmation email to the client. Archived bookings are kept separately so your active view stays clean. The stats row at the top gives you real-time totals for pending, confirmed, and total revenue.

How request management works

When a client submits a booking (via your public form or you create one manually), it appears in the Requests page with a "Pending" status badge.

The stats row at the top shows four key numbers: Total requests, Pending (awaiting action), Confirmed (approved), and Revenue (sum of confirmed booking values).

Click any request card to expand it — you'll see full details including pet info, dietary notes, medication requirements, pickup/dropoff times, and emergency contacts.

Hit "Confirm" to approve the booking. The status changes to Confirmed, a dot appears on the Calendar for those dates, and capacity is automatically adjusted.

Hit "Cancel" to decline the booking. If you have a cancellation policy configured, the system evaluates whether a refund or fee applies based on how close to the booking date it is.

Use the search bar to find bookings by pet name, owner name, or booking reference number.

Filter by service type (Daycare, Boarding, Meet & Greet) or status (Pending, Confirmed, Cancelled) to focus on what needs attention.

Toggle between Active and Archived tabs — archived bookings are past or completed requests kept for your records and DEFRA compliance.

For Daycare bookings with multiple selected days, you can confirm or remove individual days without affecting the rest of the booking.

The "New Booking" button lets you create a booking on behalf of a client — useful for phone or walk-in enquiries.

What happens at each stage

A new booking request arrives

It appears as a card with an orange "Pending" badge. The Pending counter in the stats row increments. You'll see the pet name, owner, service type, dates, and quoted price.

You open and review the request

The card expands to show full details — pet breed, weight, dietary notes, medication, vaccination status, emergency contacts, and any special instructions the client added.

You tap "Confirm"

The badge turns green "Confirmed". The booking is locked in — dates are reserved on the Calendar, capacity counts are updated, and the Confirmed counter and Revenue total update in real time.

Confirmation is processed

If email notifications are enabled (Settings → Email), a confirmation email is sent to the client automatically with booking details, check-in time, and what to bring.

You tap "Cancel"

The cancellation policy is evaluated. If the booking is within the penalty window, the system calculates and displays the cancellation fee before proceeding. The dates are freed on the Calendar.

A booking is completed or past its dates

You can archive it to move it out of the Active tab. Archived bookings remain searchable in the Archived tab for record-keeping and compliance audits.

You create a manual booking

The New Booking dialog opens where you select a client, choose a pet, pick dates, and set a service type. It creates the booking instantly without the client needing to submit a form.

You need to edit a Boarding booking

The Edit Boarding dialog lets you adjust check-in/check-out dates, add notes, change pricing, or modify special instructions — all without cancelling and re-creating the booking.

Pro tips for managing requests

Process pending requests within 2 hours during business hours. Clients who don't hear back quickly may book elsewhere — speed is a competitive advantage for pet boarding.

Always check the Calendar before confirming a booking. The Requests page shows you the booking details, but only the Calendar shows whether that date is already near capacity.

Use the search and filter tools aggressively. If a client calls asking about their booking, type their name and find it in seconds rather than scrolling through cards.

Archive completed bookings weekly rather than letting them pile up. A clean Active tab means you spend less time scanning past entries to find pending requests.

For recurring Daycare dogs (e.g. every Tuesday and Thursday), create bookings in advance for the whole month. This locks in their spot and gives you predictable revenue.

When cancelling a booking, always check your cancellation policy settings first. The system enforces whatever rules you've set — if the fee window is wrong, fix the policy before cancelling.

Use the revenue stat to track your monthly pipeline. At the start of a month, it shows projected revenue; by month-end, it reflects actual confirmed income.

For Meet & Greet bookings, add a note in the booking with the client's questions or concerns. When they arrive, you can reference it immediately rather than relying on memory.

If a client requests dates you can't accommodate, use the "Cancel" action with a note explaining why, then suggest alternative dates. It keeps a record of the interaction.

The Active/Archived split is your friend for DEFRA inspections. Inspectors may ask to see past booking records — the Archived tab is your instant audit trail.
