Every website enquiry handled professionally from one inbox

How the message flow works

Client submits contact form

A visitor fills out the contact form on your public website with their name, email, phone and message. The form data is stored securely and appears in your Messages inbox within seconds.

Conversation appears in your inbox

New messages land in the left-hand conversation list with an unread dot indicator. The header chip shows a live count of all unread enquiries so you never miss one.

You select and read the enquiry

Click any conversation to open the full thread on the right. The visitor's original message is shown in a white bubble on the left, with their name, email and phone displayed in the thread header for quick reference.

Auto-mark or manual mark as read

Opening a conversation automatically marks it as read. You can also click the "Mark read" button to clear the unread badge without opening the full thread — handy for bulk triage.

Reply via email

Type your reply in the input field and press Enter or click Send. A confirmation dialog shows the recipient email and a preview of your message before sending. The reply is dispatched via your configured SMTP settings, so it arrives from your business email address — professional and branded.

Thread updates in real time

Your sent reply appears instantly as a teal bubble on the right side of the thread. Subsequent replies from the visitor will also appear in the same conversation thread, keeping everything in one place.

Delete resolved conversations

Once an enquiry is fully handled, click the delete button. A confirmation dialog protects against accidental deletion. Deleted conversations are permanently removed — keeping your inbox clean and focused.

Responsive design — works everywhere

Desktop layout

Side-by-side view with the conversation list (360px) on the left and the thread panel filling the remaining space on the right. Both panels are visible simultaneously for efficient workflow.

Tablet layout

In compact mode, you see either the conversation list OR the thread — not both. An arrow-back button in the thread header lets you return to the list. This maximises reading space on smaller screens.

Mobile layout

Full-screen single-panel mode. The conversation list takes the entire screen, and tapping a conversation slides in the thread view. The back arrow returns you to the list. Touch-friendly tap targets throughout.

Pro tips for managing messages

Reply within 30 minutes during business hours. Studies show enquiry-to-booking conversion rates drop dramatically after the first hour. Speed is your competitive advantage — a quick, warm reply can win a client over slower competitors.

Use the search bar to find past conversations. If a client calls and says "I emailed you last week about boarding", you can instantly pull up their thread by searching their name or email.

Start your replies with the client's name and a warm greeting. "Hi Sarah! 😊" feels infinitely more personal than "Hello, thank you for your enquiry." People choose boarding based on trust and warmth.

Mention their pet by name if they included it. "We'd love to meet Buddy!" shows you actually read their message and care about their specific pet, not just filling a kennel slot.

Always end with a clear next step. Don't just answer their question — guide them forward: "Shall I book you in for a Meet & Greet this Thursday at 2pm?" reduces friction and increases conversion.

Delete resolved conversations regularly to keep your inbox manageable. A cluttered inbox with 50+ old threads makes it easy to miss new enquiries buried in the noise.

If a complex question needs a phone call, note it in a reply first: "This is easier to chat through — I'll give you a ring on the number you provided." The email confirms you're responsive, and the call seals the deal.

Check your SMTP settings periodically in Settings → Email. If your email provider changes passwords or tokens, replies will fail silently. A quick test email ensures everything is flowing.

Use the unread count chip in the header as a daily health check. If you see "3 unread" when you open the dashboard, make it a priority to clear them before anything else — leads go cold fast.

For after-hours enquiries, set expectations in your website's contact form description like "We reply within 24 hours" so clients aren't anxiously waiting for an immediate response at 11pm.
