Booking Calendar

Visualise your month at a glance — every booking type, every day, every capacity slot.

Your month in one view

The Calendar page is your command centre for daily operations. It renders a full month grid where every booking appears as a colour-coded dot — Daycare (green), Boarding (blue), Meet & Greet (amber), and Test Overnight (purple). Tap any day to see exactly who is booked in, what service they're on, and how full your capacity is. Bank holidays and unavailable dates are clearly marked so you never accidentally double-book or miss a closure day. The monthly stats strip at the top gives you instant totals by service type without scrolling.

How to read the calendar

Each day cell shows coloured dots representing the bookings on that date. Green = Daycare, Blue = Boarding, Amber = Meet & Greet, Purple = Test Overnight.

The tiny capacity bar at the bottom of each cell fills up as bookings are added. Green means plenty of room, amber means getting busy, and red means near or at full capacity.

Days marked with a 🚫 icon are unavailable dates you've set — no bookings can be made for those days.

Today's date is highlighted with a teal border so you can always orient yourself quickly.

Click any day with bookings to expand a detail card showing pet names, service types, and the exact capacity percentage.

The stats strip at the top summarises the entire month — total Daycare sessions, Boarding stays, Meet & Greets, and Test Overnight bookings.

Navigate months with the left/right arrows or jump back to today with the Today button.

Bank holidays are automatically highlighted — the system pulls UK bank holiday data so you can plan staffing accordingly.

What happens when you use the calendar

Click each scenario to see the result and email preview

You open the Calendar page

A month grid loads with all bookings rendered as colour-coded dots. The stats strip shows totals by type so you instantly know how busy the month is.

You click a day with bookings

A detail card slides in showing every pet booked for that day, their service type, owner name, and the day's capacity percentage with a visual bar.

A day reaches 90%+ capacity

The capacity bar turns red, warning you not to accept more bookings. This prevents overcrowding and keeps your DEFRA licence conditions in check.

You've set an unavailable date

That day cell shows a blocked icon and a muted background. No bookings can be placed — clients see it as unavailable on their booking form too.

A bank holiday falls on a weekday

The calendar highlights it automatically so you can plan adjusted staffing, reduced capacity, or full closures in advance.

You navigate to next month

The grid refreshes instantly with the new month's bookings, stats, and capacity data — no page reload needed.

Pro tips for calendar management

Check the calendar every morning before opening. A 30-second glance tells you exactly which dogs are coming in, whether you're near capacity, and if any Meet & Greets need preparing for.

Use unavailable dates proactively — block out deep-cleaning days, personal holidays, or maintenance windows well in advance so clients can't book those dates.

If a day shows amber/red capacity, consider whether you have enough staff rostered. Cross-reference with the Team → Holidays page to make sure someone isn't on leave.

The colour-coding matches across the entire app — green Daycare, blue Boarding, amber Meet & Greet. If you see a colour pattern you don't recognise, tap the day to confirm.

For multi-day Boarding bookings, dots appear on every day of the stay — not just the check-in date. This gives you a true picture of daily occupancy.

Export or screenshot the month view at month-end to attach to your DEFRA records as evidence of operating within licensed capacity.

Bank holidays often mean higher demand from pet owners going away. Consider setting up a "Bank Holiday Surcharge" in your pricing settings.

If you run both Daycare and Boarding, the calendar helps you spot conflicts — a day packed with Daycare arrivals AND Boarding check-ins needs extra hands on deck.
