What are the Compliance Logs?

The Compliance Logs are six digital record-keeping tools that replace paper-based DEFRA logs. Every licensed boarding establishment must maintain daily records as evidence of compliance. These logs are structured to match exactly what inspectors look for during licensing visits — and they're always inspection-ready because they're timestamped, signed, and stored digitally with full audit trails. The six log types are: Daily Welfare Checks, Cleaning & Disinfection Schedule, Medication Administration, Incident Reports, Fire Safety, and Risk Assessments.

The six compliance log types — in detail

Each log serves a specific DEFRA condition. Here is what each one tracks, how you fill it in, and what inspectors look for:

Daily Welfare Checks

Required by DEFRA Condition 7 (monitoring). Every dog must be observed at least twice daily. The form captures: dog name, kennel unit, appetite status (Eaten/Partial/Refused), behaviour observations (Normal/Anxious/Aggressive/Lethargic), physical check (coat, eyes, ears, limbs), exercise given (duration + type), and free-text notes. Staff sign each entry. If a concern is flagged, the system prompts an action plan.

Cleaning & Disinfection Schedule

Required by DEFRA Condition 5 (disease control). Logs every cleaning event: area cleaned (kennel unit, corridor, isolation, outdoor run, food prep, reception), disinfectant used (product name + dilution ratio), contact time achieved (minimum 10 minutes for most veterinary disinfectants), rinse completed, dried before re-use, and staff member who performed it. Tracks cleaning by shift (AM/PM/Deep Clean).

Medication Administration Log

Required by DEFRA Condition 9 (veterinary care). Every medication dose is recorded with: dog name, medication name, dose + route (oral/topical/injection), time administered, prescribed by (vet name + practice), reason, staff who administered it, and client consent confirmation. Never administer medication without a vet prescription and owner consent — this log proves both.

Incident Report Log

Required by DEFRA Condition 10 (emergency procedures). Records any notable event: dog-on-dog incidents, bites (to staff or dogs), escapes, injuries, property damage, illness onset, client complaints, or near-misses. Each entry captures: date/time, dogs/people involved, detailed description, immediate action taken, follow-up actions, whether the owner was notified, and whether external reporting was required (e.g. to the council, APHA, or police).

Fire Safety Log

Required by the Regulatory Reform (Fire Safety) Order 2005 and DEFRA Condition 6 (environment). Tracks: fire equipment checks (dates, types, locations), fire drill records (date, duration, number of staff/dogs evacuated, issues noted), fire alarm tests (weekly), fire risk assessment reviews (annual), and a compliance checklist covering detectors, signage, evacuation plans, extinguisher service dates, and staff training records.

Risk Assessment Register

Required by DEFRA Condition 3 (suitable environment) and general health & safety law. Documents each identified hazard: description, risk level (Low/Medium/High/Critical), likelihood, severity, existing control measures, additional controls needed, responsible person, and review schedule. Covers common kennel hazards: slip-and-fall, chemical exposure, dog-related injuries, zoonotic disease, fire, electrical, flood, extreme weather.

What inspectors see when they review your logs

You open the Welfare Checks tab, select the date range, and instantly display every daily check — timestamped, signed, with notes on any concerns and follow-up actions. The inspector can see appetite trends, behaviour patterns, and that every dog was checked at least twice daily. Digital records are accepted by DEFRA provided they are backed up and password-protected.

A kennel cough outbreak is suspected — inspector asks for your response documentation

You show: (1) the Welfare Check log where the first symptoms were flagged, (2) the Incident Report log documenting immediate isolation and owner notification, (3) the Cleaning Log showing enhanced disinfection of the affected kennel and adjacent areas with contact times, (4) the Medication Log showing vet-prescribed treatment, and (5) the Risk Assessment updated with "Kennel Cough Outbreak" as an active hazard with control measures. All six logs working together tell the complete story.

Tips & best practice

Complete welfare checks at the same time each day — morning and evening rounds create a consistent pattern that inspectors love to see.

Always record the disinfectant dilution ratio AND contact time. "Cleaned with F10" isn't enough — "F10 at 1:250, 10-minute contact time" is what inspectors want.

Never administer medication without recording it — even eye drops. The medication log is a legal document that protects both you and the animal.

Write incident reports within 1 hour of the event while details are fresh. Include exact times, not "this morning." Inspectors check timestamps.

Fire drills should be timed. Record exactly how long evacuation took, how many dogs and staff were involved, and what went wrong. "Drill completed" without details fails the higher standard.

Review risk assessments quarterly, not just annually. Add new hazards as they arise (e.g. building work, new equipment, seasonal risks like heatstroke in summer).

The cleaning log should show different disinfectants for different areas — using F10 for kennels but a food-safe product for food preparation areas demonstrates proper understanding.

Back up your digital records weekly. DEFRA accepts digital records provided they are "password protected and backed up." Set up automatic cloud backups.
